Cloud backup is when you install a program on your computer and tell it to keep specific files backed up online. Going a step further than cloud storage, a backup service will also upload any changes you make to the file so that the current version is always stored online. In other words, if you delete a file from your computer, it might also get deleted from your online backup account, and if you change a file on your computer, the online version changes too.

It’s a good idea to look at what types of encryption (in-transit and at-rest are customary now) and authentication methods are offered, and it also wouldn’t hurt to look into the company’s history with handling user data. Because of this, we suggest rummaging the service level agreements to see where and how your data is being stored — your cloud company’s reputation might not be the only one you need to evaluate.
Some providers have their own data centers while others actually outsource their storage to another third-party cloud, often Amazon Web Services (AWS) or a similar Infrastructure-as-a-Service (IaaS) player. That's an important point to consider: Are you signing a service-level agreement (SLA) with a cloud provider that's directly responsible for the infrastructure or is the provider beholden to another party? Quick take: If you’re an Amazon Prime member, you already have access to this free unlimited service. And unlike most free options, Amazon Photos has no size restrictions for images. For files larger than 2GB, though, you have to use the free Amazon Drive Desktop app instead of the Drive website to upload images. Like photo storage services from Apple and Google, Amazon Photos also features a mobile app, Prime Photos, which offers editing features, tagging, support for those “live” motion photos you see on smartphones, and machine-learning-supported search. That last perk uses artificial intelligence to recognize objects in your photos, which can help locate items in your collection. For instance, you can use search terms such as “tree,” “cat,” or “man” to find the photo you’re looking for. 

Price to upgrade: If you simply want more storage, $1.99 per month gets you 50GB of storage. (That’s half the cloud storage granted by Google One for this price.) The highest tier that the service offers is appealing for families with up to six members starting on October 2nd, thanks to a recent change: it costs $9.99 per month or $99.99 annually for 6TB of cloud storage that can be split into 1TB chunks for each user. This tier also grants each user an Office 365 license for use on a computer, as well as a tablet and phone.
One of the most popular file-sharing services is Dropbox. Users like it because it’s free and simple. It creates desktop folders where a user can store files and documents, then syncs those contents to the user’s smartphone, tablet or other computers. There’s no way for IT to secure company data users store in the cloud via their personal Dropbox accounts, but if  you're looking for a corporate file sharing alternative, Dropbox for Teams is a good option. This paid enterprise service allows corporate admins to set up file-sharing services where IT has control over teams of users who can access certain files. This approach creates a more secure environment for business file sharing.

Free accounts start at 10GB, and a Starter accounts provide 100GB of storage for $5/month. There are also business plans that offer more storage and capabilities, such as version history, password-protected sharing, and search abilities. There’s also a “shares” page that tells you which folders you have shared and with whom. Sync.com does link sharing properly. You can attach passwords as well as expiry dates to links, those that latter bit requires a Pro subscription. A couple of rare but handy share features that Sync.com provides are setting download limits on shares and viewing download stats.

Google’s G Suite could work, which starts at $5 per user for a shared pool of 30GB of cloud storage, or $10 per user for unlimited storage (if you have more than five users; 1TB per user if you have fewer than five). If you want others to be able to upload and download files seamlessly in your cloud, you’ll need to create accounts for them—otherwise, they’ll just be able to download files. This could get costly, and not really solve the spending issue you identified in your letter.
If a family member is already paying for their own iCloud storage plan, they can choose to switch to your plan or keep their own and still remain part of the family. When they switch to the shared family plan, they get a refund for the remainder of their personal plan. They can't keep their current plan and use the shared family plan at the same time.

Quick take: While Shutterfly is best known as a photo-printing service, it also offers free, unlimited storage for photos. (Sorry, no videos, spreadsheet documents, etc.) And as with Amazon, there’s no real limit to the size of the photos you can upload. But here’s the catch: Shutterfly doesn’t offer full-resolution downloading. Instead, you get a scaled-down 2-megapixel file, similar to those provided by Nikon’s service.

Dropbox gives its users plenty of opportunities to get extra storage to beef up the paltry 2GB you get when you sign up. If you participate in the quick Getting Started tutorial, you get 250MB. Turn on the automatic photo upload feature on any of the mobile apps to get 3GB of extra space (you can get only 3GB total, not per device). We are a startup that has to shares lots of large media files with clients. Since we use G Suite and have email for our company thereby hosted with Google, naturally instead of paying for other services, we wanted to leverage all the features. Unfortunately we found Google Drive very frustrating to use. First, you can’t share Team Drive folders publicly without the user also creating/logging into a Google account. You have to make a dupe set of the files on a non-team drive. Second, when downloading lots of files, the zip process can take forever. And finally we found moving/copying larges groups of files around to have erratic behavior with files not showing up in destinations folders for a long time and no progress indicator for the copy/move process.
